(1) Handouts – Some Dos and Don’ts

Some presenters feel that handouts are a waste of time and paper. I feel strongly that most participants are disappointed if they don’t have something to take home.

In my Special Report, “The How-To’s of Handouts Your Listeners Will Treasure” here are some dos:

1. Handouts should be concise, succinct and to the point.

2. Their actual length should depend upon how long the presentation will be. One “rule of thumb” given was that for a three-hour seminar, the handout should have a maximum of five pages. My feeling is that it should be as long or as short as necessary for the information covered.

And some don’ts:

1. Not being a fan of long, sleep-inducing PowerPoint presentations, I especially dislike handouts that are printouts of each slide – one per page. They are usually a total waste of time and paper. Some like including three ona page, which also sets up lines for taking notes. Better,but not best for me.

2. Avoid running out of having enough handouts for everyone.I know it is wasteful to have too many handouts left over,but those who don’t receive them are disappointed and wonder why you are not prepared properly. If you do use the same handouts for different groups, you can set up the masters,so that you only need a few changes on the cover and first pages. (Note: if you do run out, have those who didn’t receive a handout, give you their address, and do mail them a copy the minute you get back to your office).
